Overall Responsibility:

As the Pete and Gerry’s corporate librarian, the Document Control Specialist will be the gate keeper and compliance officer for the Document Control process. This team member will administer the document life-cycle (author, approve, publish, revise, retire, archive, communicate) for all sites and departments. The function defines standards and workflows for document management as well as leads the collection, authoring, publication, storage and retrieval of documents.

Job Duties and Responsibilities:

  • Administer the document lifecycle (author, approve, publish, revise, retire, archive) for all departments. Documents in scope of control include but are not limited to: policies, procedures, work instructions, forms, job descriptions, certifications, environmental test results, contracts, calibration records, corrective action plans, and system verifications.
  • Assist in development of and adherence to electronic document templates and data standards.
  • Work as gate keeper for published documents maintaining 100% accuracy.
  • Assist in development and maintenance of Controlled Documents search database.
  • Work with subject matter experts in each area, accomplishing clear communication, regular updates, suggestions on improvements and continued education of search tool.
  • Assist in development of corporate records retention policy.
  • Prepare records for inactive storage according to records retention policy; save and maintain documents as needed to perform distribution and storage duties.
  • Administer document processes and systems to ensure control and availability of documentation to all users.
  • Adhere to standardized Controlled Document work flow and make suggestions for adjustments as business develops.
  • Communicate with subject matter experts on changes to published, archived and edited controlled documents.
  • Assist in providing training on controlled document work flow, record retention policies and controlled document search database to subject matter experts, and work as backup trainer to subject matter experts in training new users.

Requirements:

  • Extreme attention to detail, grammar and data standards.
  • Intermediate to advanced knowledge of Microsoft Office products including Word, Excel and Access.
  • Must be able to work independently, successfully.
  • Ability to manage fine detail while appreciating larger scale strategy.
  • Experience with Document Control systems, standards and work flow.
  • Experience with records retention policies and procedures.
  • Ability to communicate with others in order to drive successful outcomes.
  • Bachelor of Arts or Science degree or equivalent experience.
  • Ability to achieve SQF/HACCP Certification
